The Challenge
Optimised Installations is a leading civil infrastructure installer operating across Western Canada. With crews in the field, projects in constant motion, and a head office responsible for quoting, coordination, and client communication, the company faced the same challenge as many construction firms. Critical information lived in too many places, and important details were often trapped in emails, phone calls, or photos sitting on individual devices. Optimised needed custom software that reflected how construction actually works in the field. Mobile, visual, fast, and tightly connected to head office operations. Off-the-shelf tools didn’t fit their workflows, and generic project management platforms added friction rather than removing it. They needed a partner who could understand both the operational realities of construction and the discipline required to build software that would actually be used by crews, estimators, and management alike.
Our Solution
Intoria worked closely with Optimised Installations to design and build a proprietary Mobile Project Manager tailored specifically to their business. The system allowed field staff to capture photos and project details directly from job sites, creating a reliable visual and data record of work in progress. Information flowed cleanly from the field back to the office, improving visibility and reducing reliance on manual updates. Alongside this, we developed a comprehensive, dynamic quoting system for head office operations. Quotes could be generated using categorized, fully configurable components, allowing Optimised to standardize estimates while retaining flexibility for complex jobs. The system tracked conversions, managed communication between office and client, and supported version-controlled revisions for out-of-scope work and changes over time. Together, these tools formed a connected operational platform. Field activity, quoting, client communication, and internal metrics were no longer siloed. Everything worked from a shared source of truth, designed to be practical, efficient, and easy to use. Throughout the engagement, Intoria provided ongoing support, iterative enhancements, and timely upgrades. Costs were scoped appropriately to the work, and concessions were made where necessary to ensure quality and delivery timelines were met.
Results
Optimised Installations gained a purpose-built software platform that improved efficiency across both field and office operations. Site activity became easier to document and track. Quoting became more consistent, measurable, and manageable. Communication between the office and clients became clearer, with full visibility into quote history and changes. The system helped make the business more effective and user-friendly without forcing staff to adapt to generic tools that didn’t match how they work. Over time, the relationship evolved beyond a single project into a long-term partnership built on trust, responsiveness, and shared standards for quality.
